Who has access to Users & Teams?
- All users with the permission Users & Teams can view and edit the settings.
Open Users & Teams
- Click on gear icon.
- Choose yours organization.
- Expand the list User accounts.
User
Create a new user
You need to have available licenses.
- Click on the plus sign.
- Adduser ID (email or mobile number).
- Fill in personal information.
- Add extra information (optional).
- Select license type.
- Assign mobile & landline numbers if relevant.
- Copy the landline number.
- Click the icon next to the mobile number.
- Paste the mobile number as linked number and activate mex → click Save.
- Select additional display numbers (e.g. group numbers) and default country code prefix.
- Assign roles. Under Permissions via roles you see what rights the role gives.
- Add team (occurs automatically if roles are linked to teams).
- Select standard language.
- Change time zone if necessary.
- Choose whether the user should be created and invited directly (default) or saved as a prepared user.
- Click on Create.
User ID is used for login and password reset.
Edit or delete a user
Edit
- Select users in the list and expand.
- Make changes.
- Click on Save.
Remove
- Expand the user.
- Scroll to the bottom.
- Click on Delete user.
- Confirm with Yes.
Deleting a user cannot be undone.
Prepared users
This shows users that have been created but not yet invited.
To activate and send the invitation:
- Expand the list Send invitations.
- Select one or more users.
- Click on Send.
Export users
You can export to Excel format: active users, prepared users, or both.
- Click on the icon with three dots.
- Click on down arrow icon for export.
- Toggle on Active users.
- Toggle on Prepared users.
Team
Create new team
- Click on the plus sign.
- Name the team.
- Select user.
- Click on Create.
A team usually corresponds to a department, where you can collect department-specific channels.
Edit existing team
- Expand the team.
- You can:
- Change name.
- Change avatar (pen icon).
- Choose roles that automatically belong to the team.
- See public & private channels.
- Create new channels.
- Add more members.
- Click on Save.
Disable teams
- Expand the team.
- At the bottom, check Disabled.
- Click on Save.
Deactivated teams are not visible to users but can be reactivated.
Roles & permissions
Create new role
- Click on the plus sign.
- Name the role (e.g. Telephony administrator).
- Assign permissions.
- Select the team to which the role should automatically belong.
- Assign team permissions.
- Assign the role to users.
- Click on Create.
Edit or delete role
Edit
- Expand the role.
- Make changes.
- Click on Save.
Remove
- Expand the role.
- At the bottom, click Remove.
- Confirm with Yes.
Removing a role affects all users assigned to it. Associated teams also disappear.
Assign permissions without roles
It is possible to assign permissions directly, but we recommend working with roles.
- Expand the list Permissions.
- Select permissions.
- Click on Save.
